The Situation

A property management company overseeing a three-building office campus in Nashville contacted Pelfrey after an insurance assessor flagged multiple trees as potential liabilities during a routine site inspection. The campus had approximately 200 trees that had received minimal professional maintenance in the previous 5+ years.

Deferred maintenance had created compounding problems: deadwood accumulation, co-dominant stems without cabling, root zone compaction from construction activity, and several large trees with visible structural defects. The property manager needed a structured plan to address both immediate risk and long-term preservation, with predictable annual budgeting.

Our Approach

An ISA-certified arborist conducted a complete tree-by-tree inventory over three days, documenting species, size, condition, structural concerns, and risk assessment for each tree. The inventory was digitized and organized by risk priority.

Based on the inventory, we created a three-year phased plan. Year 1 focused on immediate risk mitigation: removing three structurally compromised trees, cabling four trees with co-dominant stems, and deadwood pruning across all high-traffic areas. Year 2 addressed deferred pruning for 60+ trees and initiated soil health programs for high-value specimens. Year 3 expanded to full-campus preventive care including pest monitoring and root zone management.

The plan included quarterly inspections, annual budget forecasting, and digital reporting formatted for the property management company's compliance requirements.

The Outcome

Year 1 resolved all immediate liability concerns flagged by the insurance assessor. The three removed trees were replaced with species better suited to the site conditions. Cabling installations stabilized four high-value trees that would have otherwise required removal.

By the end of Year 2, the campus tree canopy showed measurable improvement in density and health metrics. The property management company reported that the structured plan and documentation allowed them to negotiate improved insurance terms based on demonstrated risk management.
